Hayfield Band Boosters (Message 46)--Year end Booster Meeting, 16 Mar

Greetings Boosters,
 
We are nearing the end of the school year and I wanted to update you on some of the remaining activities for the year.
 
We will have our final Booster Meeting of the 2012-2013 school year on March 16, 7 p.m., in the Band Room.   This will be an opportunity to close out the current year and accomplish advance planning for the 2013-2014 year.  
 
We are looking for volunteers to fill 2 Booster offices next year--Vice President and Secretary.   Dottie Andrewshas served the Hayfield Bands for many years.  Last year she graciously agreed to be our Vice President even though her daughter graduated in 2012.  Jessica has been our Secretary for two years but her daughter will be graduating this year.  Both Dottie and Jessica have provided exceptional support this year and they will be missed.  We need your help to fill the void.  These offices will only take a small amount of your time (primarily in the Fall) but your efforts will provide immeasurable benefit to the Band Program.
 
The Marching Band will grow significantly next year. During the meeting, Mr. Burke will review the plans for next year's Pep Band.    All Symphonicand Wind Ensemble students will be part of the Pep Band.  Information about the Pep Band can be found on the Hayfield Bands website but I'm providing a synopsis here.
 
This will be a requirement to fulfill the marching component of each class. It has a very limited outside-of-school component, so those with other school activities, such as sports, dance and academic clubs can participate fully in both. Starting next fall, The Pep Band will rehearse during the school day during regular class time. There will be five required Friday after school rehearsals before home football games. The Pep Band will play at home football games and perform a simple and exciting half-time show. Two local parades will be included, and participation in a fund raising event will bring the performances to about 8 total in the fall. A small fee will be included to pay for marching equipment, uniform gloves and cleaning.
 
Over the next week, I will add signups to support the band on Graduation Day.  We will need volunteers to help with lunch (setup, food distribution and cleanup) for the students that will perform at Graduation.  I will send out an e-mail when the slots are available on Signup Genius.
 
Also, the Tri-M Pot Luck Awards Dinner is scheduled for 10 June.   We will send out assignments for entrees, side dishes, and desserts closer to the event.

2)    We need parents to help search luggage Tuesday night/Wednesday during the day. If you have some time, please send me an email. The search is much less about illegal items, and more about having the things they need (toiletries, clothes that fit school policy, etc.).

 

3)     We need parents to help load luggage/search bags on Wednesday afternoon. We take the searched luggage and put it on the bus for the kids, so that they cannot add anything last minute.

 

4)    We need parents to search the students carry–on before we leave. The last thing we do is an airport –TSA type search of their stuff before they get on the bus. Again, this is less about illegal items and more parent advice –don't do anything stupid kind of search.

 

The more parents, the better. Thank you in advance.

Hayfield Band Boosters (Message 43-Drumline Competition, 16 March

Greetings Boosters,
 
The Drumline is headed to Powhatan High School on Saturday, March 16, to compete.  Thanks to the Boosters who are driving students, moving equipment and driving the equipment truck:   We appreciate your support and I know the students do too. 
 
I'm forwarding the Drumline's latest itinerary should you decide to travel to the performance. 
 
ITINERARY

6:45 am: Meet at Hayfield /Load the truck/Uniforms

7:30 am: Leave Hayfield

9:30 am: Arrive at Powhatan High School

Equipment will likely be moved to a hallway location and placed against the wall. Please make sure that walking room is available around the equipment. If time and weather permit, we may move some or all to warm-up in the parking lot.

10:18 am: Go to warm-up room A

10:45 am: On deck, ready to perform

10:54 am: Perform

11:03 am: Load truck, fold floor, watch other groups, etc.

11:30 am: Watch Prelims

2:31 pm: Prelims Conclude

Students should use this time to rest, eat, etc. Mr. Helm will review the judges' comments at this time.

3:37 pm: Mr. Helm goes to judges' critique

4:00 pm-Scheduled Transit Time: Rehearsal

The finals schedule will depend on the prelims placement. Students should eat after our performance.

7:15 pm(??): Leave for Hayfield (approximate time)

9:15 pm: Arrive at Hayfield, unload the truck (tentative arrival time)

Destination:

Powhatan High School, Jude'sFerry Road, Powhatan, VA 23139

Students are advised to eat before hand and/or to bring food or money to buy food after the performance. There will be concessions available. Remember to bring: Uniform, instrument, food or money for food, a great attitude. All parents and volunteers will need to pay admission unless they win the drawing for our extra free tickets. Fee for admission is $15 for prelims, $18 for finals, $25 for combo.

Hayfield Band Boosters (Message 42)--Drumline Competition, 16 March

Greetings Boosters,
 
We are still looking for volunteers to assist with the Drumline competition on Saturday, 16 March.  Please go to Signup Genius and let us know if you can help move equipment or drive the Drumline members to the competition.  The itinerary provided to the Drumline members follows:

Hayfield Band Boosters (Message 41)--Booster Update

Greetings Boosters,
 
Congratulations to the Symphonic Band and the Wind Ensemble for receiving Superior ratings at Assessment last weekend!  Special thanks to the following boosters for chaperoning and helping the bands move equipment:  Marie Sudik, Natalie Carter, Leslie Bell, Eva Romero, Rafael Quezada and Michelle Paxton.
 
Planning Notes
 
 Drumline Volunteers.   We are still looking for a few volunteers to support the Drumline Competition, March 16, at Powhatan High School near RichmondVolunteers are needed for equipment helpers and transportation for the students to and from the event.  If you can help, please sign up as soon as possible at our SIgnup Genius site.  We need to ensure that transportation is covered. 
 
Spring Trip, April 17-21.  The trip includes lodging, bus transportation, adjudication and performance fees, 2 breakfasts, 2 dinners, a 3-day park-hopper pass to Walt Disney World Parks, dining coupons for the parks and a dinner show experience.  Students will need to bring money for 1 dinner, 2 breakfasts, 4 lunches and money for shopping.  The cost is $680 dollars, payable in 5 payments of $136.  The final payment was due March 1.  
 
Volunteer opportunities for the 2013-2014 school year.  Please consider volunteering as a Band Booster Officer or committee chair for next year's band season.  Your support is vital to the success of the Hayfield Band program.  If you are willing to serve, please call me or send an e-mail.

Hayfield Band Boosters (Message 40)--Assessments on Friday and Saturday

Greetings Boosters,
 
This year's assessment will be held at West Potomac High School.  The Symphonic Band will perform on Friday, 1 March; the Wind Ensemble performs on Saturday, 2 March. 
 
Thanks to  Marie Sudik and Natalie Carter for volunteering to assist the Symphonic Band on Friday.  Thanks to Leslie Bell for volunteering to assist with the Wind Ensemble on Saturday. 
 
Volunteers still needed for Saturday:  We need 1additional volunteer to chaperone; and 2 volunteers to help load the equipment at Hayfield and unload the equipment at West Potomac High School.   Please go to Signup Genius and let us know if you can help as soon as possible so that we can ensure the Wind Ensemble is supported on Saturday.
